A LITTLE MORE CLARITY

Keep your insurance documents together.

Private insurance document storage, connected to the policy each file belongs to.

Which policy documents should you keep?

Start with the current policy schedule: it usually identifies the policyholder, insured items, policy period and applicable amounts. Add the wording booklet, endorsements and certificates where relevant. Keep renewal offers separate from accepted policies until you know which period they apply to. A quote is not proof that cover has started; use the insurer’s confirmation and official documents to check that.

Upload the documents for one policy together

PolicyTrack accepts PDF, JPEG and PNG files, with up to eight files per batch, 20 MB per file and 40 MB in total. Group a schedule and wording for the same policy, rather than combining unrelated insurance in one batch. You can attach documents to an existing policy or store them first. Password-protected files may need an unlocked copy from your insurer before automatic reading can work.

Choose whether to use automatic reading

Uploading documents and asking AI to read them are separate choices. If automatic reading is available and you enable it, review the proposed insurer, dates, premium and policy number against the source before confirming. If it is unavailable or you prefer not to use it, store the files and enter the policy manually. Saving documents alone does not populate a complete policy record or establish insurance cover.

Understand who can access your documents

Uploaded files are encrypted in storage. The application decrypts them for authorised access, security scanning and any AI processing you consent to. This is server-side encryption, not end-to-end encryption. Members with access to your household wallet can view its shared documents; adding someone as an insured person does not itself give them account access. Only upload files you are entitled to share.

Find, export and maintain your insurance records

Use clear filenames and attach each file to the correct policy. Downloads require authorised access and a successful security check. You can export your accessible wallet records and clean documents, or delete records you no longer need. Downloaded files are readable on your device, so protect that device too. Keep access to essential insurer contacts for times when you cannot sign in, and ask your insurer if you are unsure how long to keep old records.

Can I store insurance policies without using AI?

Yes. Leave automatic reading off when uploading. You can store documents and enter policy details manually.

Can I store documents from different insurers?

Yes. Keep the documents with their corresponding policy records. Upload one policy’s documents per batch when using automatic reading.

Does PolicyTrack collect documents from my email inbox?

When Gmail connections are enabled, you can opt in to read relevant email text and discover records automatically. Email attachments are not collected; upload policy documents yourself.
